1. About this privacy policy

This Privacy Policy explains how LetsCheck collects, uses and protects personal information when you visit our website, contact us, request a demonstration or otherwise interact with LetsCheck.

LetsCheck can be contacted at:

LetsCheck

United Kingdom

Email: help@letscheck.co.uk

2. Information we collect

We may collect personal information that you provide directly to us, including your name, organisation or company name, work email address, telephone number, approximate property portfolio size and information included in messages or enquiries you send to us.

We may also collect limited technical information generated when you use our website, such as browser and device information, IP address, pages visited and information required for the security and operation of the website.

3. Request a Demo and other enquiries

When you submit a Request a Demo form or contact us, we use the information you provide to respond to your enquiry, arrange a demonstration, provide information about LetsCheck and communicate with you about the service you have expressed an interest in.

Our lawful basis will normally be our legitimate interests in responding to business enquiries and developing our services, or taking steps at your request before entering into a contract, where applicable.

We do not require you to provide information through the demo form, but we may be unable to respond to or arrange your requested demonstration without the information necessary to contact you.

4. Marketing communications

We will not automatically add someone to unrelated marketing communications simply because they submit a Request a Demo form.

Where we send marketing communications, we will do so in accordance with applicable law and provide an appropriate way to opt out.

5. The LetsCheck inspection platform

LetsCheck is a property inspection and evidence platform used by landlords, letting agents, property managers and other housing organisations.

Customers using the LetsCheck platform may upload or create information relating to properties and inspections, including photographs, video, audio or dictation, inspection observations, room and item information, issue histories and reports.

Such material may contain personal information relating to tenants, occupiers, landlords, inspectors or other individuals.

The data-protection roles of LetsCheck and the customer depend on the particular processing being carried out and the applicable contractual arrangements. Where LetsCheck processes personal information on behalf of a customer acting as controller, that processing will be governed by the relevant customer agreement and data-processing terms.

6. AI-assisted functionality

LetsCheck includes human-led, AI-assisted functionality designed to assist inspectors with tasks such as organising evidence and drafting inspection observations.

AI-generated or AI-assisted content is intended to support, rather than replace, professional human judgement. Inspectors are expected to review, edit where necessary and approve relevant inspection content before a final report is produced.

We do not describe AI-assisted inspection content as an automated decision about an individual.

7. How we use personal information

Depending on the circumstances, we may use personal information to:

  • respond to enquiries and demo requests;
  • provide and operate LetsCheck services;
  • administer customer relationships;
  • maintain the security and reliability of our website and services;
  • investigate technical or security issues;
  • improve our services;
  • comply with legal and regulatory obligations; and
  • establish, exercise or defend legal rights where necessary.

8. Lawful bases

Depending on the purpose and circumstances, we may rely on one or more lawful bases under UK data-protection law, including:

  • performance of a contract or taking steps before entering into a contract;
  • legitimate interests, where those interests are not overridden by the rights and interests of the individual;
  • compliance with a legal obligation; and
  • consent, where consent is the appropriate lawful basis.

Where we rely on legitimate interests, these may include operating and improving LetsCheck, responding to business enquiries, maintaining service security and communicating appropriately with prospective and existing customers.

9. Service providers

We use third-party technology and service providers where necessary to operate our website and services. These may include providers of website hosting, cloud infrastructure, databases, authentication, email delivery, security and other technical services.

Such providers may process personal information on our behalf where necessary to provide their services.

We assess and manage service providers according to the nature of the service and data involved and put appropriate contractual arrangements in place where required.

Services we use

  • Supabase — database and file storage
  • Netlify — app hosting
  • Vercel — website hosting
  • Resend — report emails
  • OpenAI — AI features, only when switched on by the customer

Customer data and inspection evidence are stored securely in the EU (Ireland) with Supabase, with daily backups.

10. International data transfers

Some technology providers may process information outside the United Kingdom.

Where personal information is transferred internationally, we will take steps required by applicable data-protection law to ensure an appropriate level of protection, which may include relying on adequacy regulations or appropriate contractual safeguards where applicable.

11. How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, accounting, security and contractual requirements.

Different categories of information may therefore have different retention periods.

We will develop and review appropriate retention arrangements as the LetsCheck service develops.

12. Security

We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

No internet-based service can guarantee absolute security, and our security arrangements are reviewed as the service develops.

13. Your data-protection rights

Depending on the circumstances, UK data-protection law may give you rights including the right to request access to your personal information, request correction of inaccurate information, request erasure, request restriction of processing, object to certain processing and request data portability where applicable.

Where processing is based on consent, you may withdraw that consent without affecting the lawfulness of processing before withdrawal.

These rights are not absolute and may depend on the circumstances and applicable law.

To make a data-protection request, contact:

help@letscheck.co.uk

14. Complaints

If you have concerns about how we use your personal information, please contact us first at help@letscheck.co.uk so that we can investigate.

You also have the right to complain to the UK Information Commissioner’s Office (ICO).

Information about making a complaint is available from the ICO at ico.org.uk.

15. Cookies and similar technologies

Our website may use cookies or similar technologies that are necessary for operation, security and functionality.

If we introduce non-essential analytics, advertising or similar technologies requiring consent, we will provide appropriate information and consent controls before using them where required by law.

16. Changes to this policy

We may update this Privacy Policy as LetsCheck develops or where legal, regulatory or operational requirements change.

The latest version will be published on this page with the date of the most recent update.
